Privacy notice

How EDA Praxis processes hosting, enquiry and newsletter data, including cookies, retention and your privacy rights.

Controller

The controller for EDA Praxis at eda-praxis.de and eda-praxis.com is eVision Systems GmbH, Jahnstr. 12, 85661 Forstinning near Munich, Germany. Contact: info@evision-systems.de, telephone +49 8121 2208-0.

Website access and server logs

To deliver a page, the web server processes your IP address and the requested content. Our reduced access log records the time, HTTP method, requested path, response status and volume of data transferred. It does not store the IP address, URL query parameters, referring page, browser identifier or form content as separate fields.

Error and system logs may, however, contain IP addresses and details of the affected request, including any URL query parameters, when faults or security events occur. Only authorised operations personnel can access these logs. Web server logs use daily rotation with 14 archive generations. The actual retention period also depends on new entries being created and rotation running. The system journal is limited to 14 days and 200 MiB; the size limit may cause earlier removal.

This processing supports delivery, troubleshooting and security of the portal. The legal basis is our legitimate interest in reliable, secure operation under Article 6(1)(f) GDPR.

Hosting and backups

The portal runs on a server provided by Hetzner Online GmbH, Industriestr. 25, 91710 Gunzenhausen, Germany, at its Nuremberg location. Hetzner provides the technical infrastructure and server backups and receives the data needed for these services. Further provider information is available in the Hetzner legal notice and privacy notice.

Daily consistent database exports are stored outside the publicly accessible web directory. Daily cleanup removes older export files using an age threshold of 14 days; the exact deletion time depends on the next cleanup run. Automatic Hetzner server backups with seven rotating backup slots are also enabled. Deleted records may remain in backups until the next overwrite or cleanup. Previously completed deletions must be reapplied following a restoration.

Consultation, evaluation licence and quotation enquiries

The enquiry form processes your name, email address, enquiry type and message, together with optional company, telephone and product-interest details. The sanitised path of the originating portal page and available source, medium and campaign information may be associated with the enquiry. This information helps us respond to and route your request. It is not used to create a visitor profile across sessions.

Contract-related enquiries are processed to take steps before entering into a contract under Article 6(1)(b) GDPR. We handle other business enquiries on the basis of our legitimate interest in responding and communicating under Article 6(1)(f) GDPR.

Enquiries are stored privately in the portal database. Access is limited to administration and authorised enquiry handlers. Authorised users can securely export or delete enquiries. For handling, the validated form details, including your message and associated enquiry information, are sent to info@evision-systems.de for handling. The enquiry form does not subscribe you to the newsletter; that requires separate consent.

Enquiry data is retained for handling and necessary follow-up, then deleted unless statutory retention duties apply. No blanket automatic deletion period is configured for enquiries. Downloaded exports and internal emails must be considered separately when handling deletion requests.

Newsletter and email confirmation

Newsletter signup is voluntary and independent of a consultation or evaluation licence enquiry. With your consent, we use your email address for information about HDL development, simulation, verification and relevant tools, events and offers from eVision Systems. The legal basis is Article 6(1)(a) GDPR together with your express consent to email marketing under Section 7 of the German Act Against Unfair Competition (UWG).

Signup uses double opt-in: a registration remains unconfirmed after submission. It becomes active only when you follow the confirmation link sent to your email address. The confirmation link is valid for 48 hours. Without confirmation, you are not added as a confirmed newsletter recipient. The confirmation email already includes an unsubscribe option.

We store your email address, language, the displayed consent text and its version, registration, confirmation and, where applicable, unsubscribe times, and processing and delivery status. On re-registration, the record may retain up to ten previous status transitions with their associated times and consent versions. An internal value derived from the email address using a secret key prevents duplicate records. Times are recorded in UTC. The current consent version is 2026-10-19-v1. Neither a plain-text IP address nor a browser identifier is stored in this record. Confirmation and unsubscribe access values are stored only as hashes that cannot be used directly.

The responsible team at info@evision-systems.de receives an internal registration notification and a further notification on confirmation. Unconfirmed registrations are explicitly labelled as such. Access to private signup data is restricted to authorised personnel. The portal does not contain an automated newsletter campaign system.

You may withdraw your consent at any time with effect for the future using the unsubscribe link or by emailing info@evision-systems.de. The unsubscribe link remains valid until you unsubscribe or register again. Unsubscribing makes the registration inactive immediately. Unconfirmed records become eligible for automatic deletion seven days after the last accepted signup request, and unsubscribed records 30 days after unsubscribe. Cleanup runs daily; actual deletion occurs on the next executed run. Confirmed signup data remains stored until unsubscribe or an authorised administrative deletion. The deletion information above also applies to internal notifications, exports and backups.

Email delivery through Hetzner

We use the mail service of Hetzner Online GmbH, Industriestr. 25, 91710 Gunzenhausen, Germany, for contact notifications and newsletter signup emails. The mail hosting server we have ordered is located in Nuremberg, Germany, as is our web server. The sender address is info@eda-praxis.com. Internal contact and newsletter notifications go to info@evision-systems.de; confirmation and unsubscribe links go to the email address supplied for newsletter signup.

For delivery, Hetzner processes sender and recipient addresses, message contents and technical delivery information. Contact notifications include the validated enquiry details; newsletter messages include the links required for confirmation and unsubscribe. Our portal connects to the SMTP service using encryption. Please use info@evision-systems.de for replies to newsletter messages and direct enquiries. Internal contact notifications may use the validated customer address as the reply address so that the responsible team can answer your enquiry.

Hetzner specifies seven days of retention for mail server logs and 14 days for backups of its web hosting and managed services; see Data Protection at Hetzner. These periods are separate from messages stored in a mailbox and the portal records described above. Messages and internal copies are deleted according to their handling purpose and applicable statutory retention duties. Messages already delivered to recipients are also processed by their respective email providers.

Delivery supports the enquiry and consent processes described above; no automated newsletter campaign system is configured. If delivery fails, the form reports the restricted delivery status. An enquiry may still be stored securely; a new newsletter registration remains inactive without email confirmation.

Abuse prevention

The forms use server-side validation, protection against cross-site submissions, a field that human visitors should leave empty, and limits on repeated submissions. For these limits, the connection IP is converted into a pseudonymous value using a secret server-side key. It is associated with a time-limited counter and is not added as a separate IP field to enquiry or newsletter records. The counter lasts for one hour after an accepted count. Repeated newsletter confirmation emails to the same address are additionally limited by time and count; the associated pseudonymous address counter lasts for 24 hours.

No external CAPTCHA service is embedded. This processing relies on our legitimate interest in preventing abusive submissions under Article 6(1)(f) GDPR.

Strictly necessary cookies

The enquiry form and newsletter signup share eda_form_token. This signed random value protects against cross-site submissions, contains no entered contact information and lasts for two hours. The enquiry form value is deleted after successful storage; opening the form again sets a new value.

For signed-in, authorised users, eda_site_preview can remember an expressly enabled internal preview for one day or until disabled. Sign-in and editing permissions are checked independently. These project cookies are inaccessible to JavaScript (HttpOnly), use SameSite=Strict and are transmitted only over a secure connection when HTTPS is used. WordPress sign-in also requires login and session functions.

These functional cookies provide the requested function securely. Storage or access is based on Section 25(2)(2) of the German Telecommunications Digital Services Data Protection Act (TDDDG). Any subsequent processing of personal data is governed by the GDPR basis stated for the relevant function.

Fonts, analytics and external content

The interface uses local system fonts. The portal contains no advertising pixels, externally loaded font files or statistical visitor analytics. Links to manufacturers open external services only when you choose them; those providers are responsible for their processing. Manufacturer PDFs are linked.

Your rights

Subject to the statutory conditions, you may request access, rectification, erasure, restriction and data portability. You may object to processing based on legitimate interests for reasons relating to your particular situation. You may object to processing for direct marketing at any time. Consent may be withdrawn with effect for the future; withdrawal does not affect the lawfulness of earlier processing.

Send your request to info@evision-systems.de. You also have the right to complain to a data protection supervisory authority. The forms described here do not involve a solely automated decision producing legal or similarly significant effects.
